A clear, fair code of conduct that sets behavioural expectations for your volunteer team. Covers conduct, social media, confidentiality, and health & safety.

Tips

  • ·Keep the tone positive — frame it as 'what great volunteers do' not 'what not to do'
  • ·Ask volunteers to sign or acknowledge digitally before the event
  • ·Tailor the social media section to your specific event — some events encourage sharing
  • ·If working with under-18s, add a safeguarding section and ensure DBS checks are in place
  • ·Review with your insurer — some policies require a signed CoC to be valid

Introduction

Thank you for volunteering with [Organisation / Event Name]. Our volunteers are essential to making this event a success, and we want to ensure a safe, respectful, and enjoyable environment for everyone involved — volunteers, staff, participants, and the public. By volunteering at this event, you agree to the standards set out in this code of conduct.

Conduct & behaviour

All volunteers are expected to: • Treat everyone — participants, fellow volunteers, staff, and members of the public — with respect and courtesy at all times • Arrive on time for your shift and notify [contact name/email] as soon as possible if you are unable to attend • Follow the instructions of your team lead and the event organising team • Remain in your assigned area unless directed otherwise • Avoid being under the influence of alcohol or any substance that may impair your judgement or behaviour while on shift • Wear your event volunteer kit or identification at all times when on duty

Social media & photography

[Choose the option that applies to your event:] Option A (sharing encouraged): You are welcome to share photos and updates from the event on social media. Please tag us at [social handle] and avoid posting any images of participants who are clearly identifiable as minors without parental consent. Option B (restricted sharing): Please do not post any photos or commentary about the event on social media without prior approval from [Name / Role]. This includes live updates, participant images, and behind-the-scenes content. In all cases: do not share any information about participants, other volunteers, or event operations that has been shared with you in confidence.

Confidentiality

During your time as a volunteer, you may have access to personal information about participants or other volunteers (such as names, contact details, or medical information). This information must: • Only be used for the purposes of the event • Not be shared with anyone outside the organising team • Not be retained after the event has concluded Any data you handle is subject to applicable data protection law.

Health & safety

• Familiarise yourself with the event site layout, including the location of first aid, emergency exits, and event control • Report any hazards, accidents, or near-misses to your team lead or event control immediately • Do not attempt to manage a medical emergency yourself — alert the first aid team straight away • If you feel unwell or unsafe at any point during your shift, inform your team lead and stand down • Follow any specific health and safety instructions provided in your pre-event briefing

Breaches of this code

[Organisation / Event Name] reserves the right to ask any volunteer to leave the event immediately if their conduct is deemed to be in breach of this code, potentially harmful, or disruptive to the event. In serious cases, the matter may be referred to [relevant body — e.g. the relevant sports governing body / the police]. We appreciate that the vast majority of volunteers will have no issues — this section exists to protect everyone.
