Key contacts

The right number, one tap away on the day

Add the names and phone numbers your volunteers might need during the event — the medical lead, the event director, the logistics contact. They're shown on every volunteer's event page, ready to call without hunting through old emails.

For organisers

Add contacts in seconds

Go to the Key contacts page for your event and add as many people as you need. Each entry takes a name, a role, and a phone number. No publishing step — contacts appear on attendee pages immediately.

✏️

Quick to add

Fill in a name, role, and phone number. Done. Add as many contacts as the event needs — there's no limit.

🔄

Easy to update

Phone number changed at the last minute? Edit any contact inline. The updated number is live on attendee pages straight away.

🗑️

Remove any time

Delete a contact and it disappears from all attendee pages immediately. Useful when a key person is replaced close to the event.

📋

Ordered your way

Contacts appear in the order you add them. Put the most important numbers — medical, event control — at the top.

For volunteers

Always there when they need it

Volunteers see a Key contacts tab on their event page alongside their rota and documents. Every contact has a call button — one tap opens their phone dialler with the number pre-filled. No copying, no typos.

📱

Tap to call

Each contact has a call button. Tapping it opens the phone dialler with the number ready to dial — no copying numbers from a PDF on a busy event site.

🔍

Role shown at a glance

Every contact shows their role alongside their name — so volunteers know immediately whether they're reaching the medical lead, the event director, or logistics.

📶

Available offline

The key contacts tab loads with the rest of the event page. If a volunteer loads it before going somewhere with poor signal, the numbers are already there.

🔒

Only visible to your team

Contacts are only shown to people who have been invited to the event. Phone numbers are never visible to the public.

Common questions

Can volunteers see key contacts before the event?

Yes — the Key contacts tab is visible as soon as you add contacts, regardless of whether the rota has been published. You can add them as early as you like.

Is there a limit on how many contacts I can add?

No. Add as many as your event needs — there's no cap on the number of key contacts per event.

Can I add an email address instead of a phone number?

The key contacts feature is designed around phone numbers for quick on-the-day access. For sharing documents and written information, the Documents feature works alongside it.

Are key contacts the same across all events?

No — key contacts are per event. Each event has its own list, so you can have different contacts for different events even within the same organisation.
