Volunteer management
for charity walks
Coordinate route marshals, water station teams, first aid, SAG vehicles, and finish line volunteers — without managing it all across a spreadsheet, a WhatsApp group, and a prayer.
Sound familiar?
You have marshals at twelve different junctions, three water stations that each need a setup and pack-down crew, a SAG wagon, and a finish line team. Someone drops out the morning of the walk and nobody can find which junction they were covering.
Every role, one rota
From the registration desk to the final junction marshal, EventRota keeps your entire volunteer team in one organised place.
Route marshals
Assign a marshal to every key junction, road crossing, and turning point. Each one only needs to be there for a two or three hour window — assign them to the right shift, not the whole day.
Water station teams
Each water station needs a setup crew, an active team during the walk, and a pack-down crew. Manage all three as separate shifts on the same event.
First aid & welfare
First aid posts at intervals along the route, a welfare officer, and a roving first aider all need their own assignments — and their briefing documents ready to download.
SAG wagon & support vehicles
Support vehicle drivers and their assistants — including the sweeper at the rear of the walk — are positions on the rota like any other.
Finish line team
Medal presenters, photographers, caterers, and the finish line setup crew. Often the largest group — and the most likely to be under-planned until the day before.
Registration & HQ
Registration desk, car park marshals, and the HQ communications team. Keep them on the same rota as your route team — one place to see who is covering what.
How your walk comes together
Create your walk event
Set up the event with your date and define your shifts — early morning setup, registration open, walk active (split by expected participant waves if needed), and finish/pack-down.
Map every position
Add a position for each role: Registration Desk 1–3, Car Park Marshal, Junction Marshal 1–8, Water Station A (setup), Water Station A (active), Water Station A (pack-down), SAG Driver, SAG Assistant, Finish Line Marshal 1–4, First Aid Post 1, Sweep. Save it as a template for next year.
Invite your volunteers
Send email invites or share a join link with your volunteer group, running club, or charity supporters list. Everyone marks which shifts they can cover — you see availability before you start assigning.
Fill the rota
Assign people to positions. Volunteers who are only available for the morning shift won't appear as options for the afternoon — no accidental double-booking or gaps you only spot on the day.
Brief and publish
Upload the route map, marshal briefing pack, emergency contact sheet, and first aid locations. Publish the rota and notify everyone by email — each volunteer sees their exact position, shift time, and all documents.
Built for the way charity walks actually work
Shift-based assignments
Most of your volunteers can only give you three or four hours. Assign them to the exact shift they're needed — not the whole day — and see your full coverage at a glance.
Advance availability
Volunteers confirm availability weeks before the event. You know about drop-outs in advance — not at 7am on walk day when you're trying to find cover for Junction 4.
Route briefing documents
Upload the route map, marshal briefing, emergency contacts, and first aid locations. Every volunteer downloads their brief from their personal event page — not from a confusing email thread.
Reuse year on year
Save your marshal positions, water stations, and support roles as a template. Next year, apply it in seconds and just update who's covering what.
