Rota management for
rowing regattas
Coordinate launch umpires, start timing teams, control commission, finish marshals, and volunteers across every session — without chasing people by email or managing a sprawling spreadsheet.
Sound familiar?
You have six umpire launches, a seven-person finish timing team, control commission members with different session times, and an athlete weighing shift that starts at 7.30am. It's across three spreadsheets, a WhatsApp thread, and an email from last March.

What your team sees
Every official and volunteer knows their role
Each person gets a personal event page with their shifts for the day, a map showing their exact position on the course, and any announcements from the organiser. Available from any phone — no app required.
- ✓Shifts grouped by day with times and position name
- ✓Map pins for Start Zone, Finish, Control Commission, and more
- ✓Whole rota visible when you choose to publish it
- ✓Announcements and documents all in one place
Every role, one rota
From the start pontoon to the finish timing hut, EventRota handles every position at your regatta in a single place.
Launch umpires
Assign each umpire to their specific launch or land position — island umpire, crossing umpire, bank umpire — across morning and afternoon sessions. They confirm availability and see their assignments in advance.
Start team
Starter, Start Marshal, Marshal Below Start (bank and launch), and Start Timing — the start area needs a large team. Fill each position per session and see who's covering what.
Finish timing team
Finish Marshal, Finish Timing (often six or more people), and Radio Control — the finish line is one of your biggest rosters. Assign per session alongside the rest of your officials.
Control commission
CC Head, commission members, and returning crews all need shifts. Track trainees and experienced officials separately with notes against their assignments.
Athlete weighing & admin
Weighing shifts often start early — before main sessions begin. Assign the right people to the right start time, with notes about when the shift actually begins.
Car park & site team
Car park assistants, accreditation, and site setup are just more positions on the same rota — coordinated alongside your technical officials in one view.
How a regatta rota comes together
Set up your regatta
Create your event, add the date (or two days for a weekend regatta), and define your sessions — Time Trial AM, Time Trial PM, J16 Evening, Finals Day.
Add every position
Create positions for each role: Starter, Start Marshal, Marshal Below Start (bank), Marshal Below Start (launch), U1–U4, Finish Marshal, Finish Timing ×6, CC Head, Control Commission ×3, Radio Control, Athlete Weighing. Use a template to apply your standard set instantly.
Invite officials and volunteers
Send email invites to umpires, judges, and volunteers — or share a link with your club's officials list. Everyone marks their availability per session before the event.
Build the rota
Assign people to positions. Availability is colour-coded — you assign from a pool of confirmed-available officials. Add notes for trainees or people covering an early weighing shift.
Publish & brief
Publish the rota, upload the umpires' briefing and regatta programme, and notify the full team by email. Everyone sees their assignments and downloads their documents from their personal event page.
Built for the way regattas actually work
Multiple sessions in one event
Time Trial AM, Time Trial PM, and an evening J16 session can all live in the same event with different people assigned to each. Volunteers mark per-session availability so you assign from people who are actually free.
Two-day regattas
Multi-day events are a first-class feature. Create per-day shifts, assign different teams on Saturday and Sunday — all in a single event with one set of invites.
Umpire briefing documents
Upload the umpires' briefing, regatta programme, and H&S plan. One click notifies the entire team — officials and volunteers — with their assignments and all relevant documents.
Position templates
Save your full position set — all your umpire launches, timing crew, commission roles — and apply it to next year's regatta in seconds. No rebuilding from scratch.
