Venue map

Give your team a map of the whole venue

Mark entrances, medical points, toilets, catering, meeting areas — anything your team needs to find on the day. Volunteers see the full venue map with a colour-coded key, right on their phone.

For event organisers

Click anywhere on the map to drop a pin and name it. Choose a colour to group related points — all your medical pins in red, all toilets in blue, all entrances in green. The legend is built for you automatically.

Colour groups

Points of the same colour are grouped together in the legend. Rename each group — "Medical", "Facilities", "Catering" — whatever fits your event.

Each colour group auto-numbers its pins (Medical 1, Medical 2…) so volunteers can cross-reference the map and the key at a glance.

Venue map vs. position map — what's the difference?

EventRota has two maps that serve different purposes. Most events use both.

Common questions

Can I have more than 8 colour groups?

The venue map offers 8 preset colours (red, orange, yellow, green, blue, purple, pink, and navy). Each colour is a group you can rename. Eight groups is more than enough for most events — and keeps the key readable on mobile.

Can volunteers edit the map?

No — only event managers and organisers can place or edit pins. Volunteers see a read-only view so the map stays authoritative and consistent for the whole team.

Does the venue map update in real time?

Pins saved by the organiser appear immediately the next time a volunteer opens the Venue map tab. There's no manual publish step.

What's the difference between the venue map and the position map?

The venue map is a site-wide reference — it shows shared infrastructure like toilets, entrances and first aid that every volunteer might need. The position map is personal — it shows each volunteer only the locations of their own assigned shifts.
