EventRota was built to replace the spreadsheets, group chats, and back-and-forth emails that every event team ends up relying on. We wanted something purpose-built for coordinating volunteers and staff — not adapted from a generic workforce tool.

The problem we're solving

Anyone who has coordinated volunteers at a large event knows the pain: a shared spreadsheet that gets out of sync, WhatsApp threads that go quiet right when you need an answer, and volunteers who show up not knowing where they're supposed to be.

The tools that exist are either too complex (built for ongoing workforce scheduling) or too simple (just a sign-up sheet). There's very little designed specifically for the rhythm of a one-off event — where you're building a team from scratch, coordinating across many roles and time slots, and need every volunteer to be confident and informed on the day.

EventRota is designed for exactly that. It's opinionated about event workflows: positions, shifts, and a rota — not recurring schedules or timesheets.
