Keep your team informed

Post announcements that every volunteer sees on their event page. When something important changes, email the whole team in one action — no copying and pasting into multiple threads.
Post an update
Write an announcement in the Updates tab and save it. It appears immediately on the event page for every volunteer. Use it for last-minute changes, location updates, or day-of reminders.
Email it to the team
When you post an update, choose to email it at the same time. EventRota sends it to everyone on the participant list who has an email address — with a link back to the full event page.
Dismiss and archive
The most recent update shows as a dismissable banner at the top of each volunteer's event page. All updates are available in a dedicated tab so nothing gets lost.
Rota change notifications
When the rota is updated after publishing, use the "Notify rota changes" button to email everyone whose assignment has changed. Their updated schedule is included in the email.
Availability reminders
Before the rota is built, send a reminder email prompting volunteers to mark their availability. One click, everyone gets it.
Activity log
Every email sent, update posted, and rota change is captured in the event's activity log — so you always know what was communicated and when.
