How it works
Three steps from inventory to return
Add your inventory
Create items — radios, high-vis vests, megaphones, anything your event needs — and set the total quantity available.
Allocate to positions
Use the allocation matrix to set how many of each item each position receives. + and − buttons make it instant — no dropdowns, no forms.
Check out and return on the day
On event day, use the checkout page to issue equipment to positions and record returns. Grouped by position so you can process a whole team in seconds.
Allocation
Set quantities in a grid — not a form
The allocation matrix shows every position and every equipment item together. Tap + or − to set how many units each position needs. Over-allocated items are flagged amber so you can catch problems before the event starts.
No dropdowns or pickers
Every position is already listed. Just hit + next to the item you want to add. Zero means unallocated — there's nothing to delete.
Over-allocation warnings
If positions are allocated more units than you have in stock, the column header turns amber so you can spot and fix the shortfall immediately.
Visible to volunteers
Equipment allocated to a position automatically appears on the volunteer's shift card when they view their schedule — so they know what to collect without being told separately.
Works across multiple days
Issue equipment at the start of each day and record returns at the end. Re-issue with one tap for multi-day events — the record updates cleanly.
Day of
Process a whole position in one tap
The checkout page groups equipment by position. When a team arrives, find their card and hit "Issue all" — every item goes out at once. Return works the same way. You can also issue or return individual items if needed.
Position cards
Each position gets its own card showing all its equipment, the current status of each item, and bulk issue / return buttons.
Filter by status
Filter the view to show only pending, issued, or returned items — so you can focus on what's outstanding at the end of the day.
Equipment view
Switch to the equipment view to see which positions have a particular item — useful for tracking down a specific piece of kit.
Common questions
Do volunteers see the equipment they're supposed to collect?
Yes. Equipment allocated to a position appears directly on the volunteer's shift card when they view their schedule — no separate communication needed.
What if a position has no volunteer assigned yet?
You can still check equipment in and out for any position — volunteer assignment is optional. The record is linked to the position, not the person.
Can I re-issue equipment that's been returned?
Yes. Returned items show a Re-issue button alongside the return time. This is designed for multi-day events where the same kit goes out each day.
Can coordinators use the checkout page?
Yes. Coordinators have access to issue and return equipment for the positions they manage. They can't edit the inventory or allocations — that's admin-only.
