Terms of Service

EventRota is operated by Sports Stats Limited, a company registered in England and Wales. EventRota is a rota and volunteer management tool for events. It is offered on a free plan and on paid plans, described in section 2 and on our pricing page.

Every feature of EventRota is available on every plan. What a plan determines is how many people an event may hold and how many emails it includes. Current prices are shown on our pricing page.

Free plan. Events with up to 10 people are free to run, with no payment details required and no time limit.

Per-event payments. You may pay a one-time fee to raise a single event’s limit. This is not a subscription and does not renew. If you later move that event to a higher tier, you pay only the difference between what you have already paid and the new tier’s price. A per-event payment applies to that event alone and lasts for the life of that event.

Annual plans. Annual plans are billed yearly in advance and renew automatically on each anniversary until cancelled. You may cancel at any time from your billing settings; the plan then continues until the end of the period you have already paid for, and is not renewed. Cancelling does not entitle you to a refund of the current period.

What you keep. If an annual plan ends or is not renewed, nothing is deleted and no volunteer loses access. Events retain any per-event payment made against them. Where an event exceeds the limit of the plan you are left on, you keep everyone already added to it, but cannot add further people until you upgrade that event or take a plan again.

Failed payments. If a renewal payment fails we will continue your plan for a short period while payment is retried, so that a card problem does not interrupt an event in progress. If payment is not completed, the plan ends as described above.

Tax. All prices are exclusive of VAT and any sales tax. Any tax that applies in your country is added at checkout and shown before you pay.

Price changes. We may change our prices. Any change to the price of an annual plan takes effect at your next renewal, and we will give you reasonable notice before it does. Changes never affect a payment already made.

Payment processing. Payments are processed by Stripe. We do not receive or store your card details. Your use of Stripe’s checkout is subject to Stripe’s own terms.

Refunds. We will refund a per-event payment at any time before the event it was bought for has taken place, or within 14 days of the payment — whichever of the two gives you longer. Annual plans are refundable within 14 days of the payment that started or renewed them. After an event has run, or after those 14 days, payments are non-refundable except where the law says otherwise. To request a refund, contact us at info@sports-stats.org — none of this affects your statutory rights.

You must be at least 16 years old to use EventRota. By using the service, you confirm that you meet this requirement. If you are using EventRota on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.

You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. Notify us immediately at support@eventrota.com if you suspect any unauthorised use of your account.

You may not share your account with others or create accounts for the purpose of misuse.

You agree not to use EventRota to:

• Violate any applicable law or regulation.
• Upload or distribute spam, malware, or harmful content.
• Attempt to gain unauthorised access to any part of the service or to other users' data.
• Impersonate any person or organisation.
• Use the service in a way that could damage, disable, or impair EventRota or its infrastructure.

We reserve the right to suspend or terminate accounts that violate these rules without prior notice.

You retain ownership of the data you upload to EventRota (event data, volunteer information, rotas, etc.). By using EventRota, you grant us a limited licence to store, process, and display your data solely to provide the service to you. We will not use your data for any purpose beyond operating EventRota.

You are responsible for ensuring you have the right to upload any personal data (such as volunteer contact details) to EventRota, and for complying with applicable data protection laws in your jurisdiction.

EventRota is an actively developed service. This means:

• Features may change, be added, or be removed without notice.
• We do not guarantee uptime or continuous availability.
• Data loss, while unlikely, is possible. We recommend keeping backups of critical information.

We will make reasonable efforts to keep the service running reliably and to preserve your data.

EventRota allows administrators to send emails to volunteers (invitation emails, rota notifications, announcements). You are responsible for ensuring that recipients have consented to receive such emails. You must not use EventRota's email features to send unsolicited communications.

All software, design, and content that makes up EventRota (excluding your data) is our intellectual property or is licensed to us. You may not copy, modify, or distribute any part of the service without our written permission.

EventRota is provided “as is” and “as available” without warranties of any kind, either express or implied. We do not warrant that the service will be error-free, uninterrupted, or free from harmful components.

To the fullest extent permitted by law, EventRota and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of — or inability to use — the service, even if we have been advised of the possibility of such damages.

We may update these Terms from time to time. When we do, we will update the “Last updated” date above. Continued use of EventRota after changes are posted constitutes your acceptance of the updated Terms. For material changes, we will provide notice via email or an in-app notification.

These Terms are governed by the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
