Position templates

Set up your next event in seconds, not hours

If you run the same type of event more than once, you know the pain of rebuilding the same position list every time. Templates let you save your standard roles and apply them to any event with one click.

How templates work

Create a template

Go to the Templates page and build a named set of positions — each with a description, minimum headcount, and required skills. Give the template a name like "Marathon Setup" or "Festival Stage A".

Apply to an event

When creating a new event, or from the Positions tab of an existing event, choose "Use template". All positions are added to the event in one step — with all their details intact.

Customise as needed

Templates are a starting point, not a fixed blueprint. Add extra positions, remove ones that don't apply, or tweak details for the specific event. The template is unchanged.

Course marshals, finish line crew, water stations, medical points — the same roles appear at every race. Save them once and apply to each new event in your calendar.

Tips for getting the most from templates

Create templates by event type, not by scale. A "half marathon" template works for a 500-person race and a 5,000-person race — just adjust headcount per event.

Include required skills on positions so the system can surface volunteers with the right background when you're assigning the rota.

You can maintain multiple templates — one for a standard setup, one for a large event, one with extra medical coverage.

Templates can be applied to existing events too, not just new ones. Add a second template to a complex event that needs positions from multiple departments.
